A PMS (Property Management System) is the brain of your vacation rental business. It handles bookings, pricing, guests, payments, and communication. Choose the wrong one and it will cost you time, money, and reservations. Choose the right one and it simplifies your life while boosting your revenue.

The problem: there are dozens of options and they all promise the same thing. This guide tells you exactly which features to look for — and which ones are negotiable and which are not.

1. Direct booking website

If the PMS doesn't include a professional direct booking website, rule it out. Your website is your most profitable channel — no commissions, no middlemen — and it should come built in, not as a third-party add-on.

What to demand: mobile-first design, professional templates, multilingual support, SEO fields (meta titles, descriptions), fast loading, and hosting included. If it also lets you connect a custom domain, even better.

2. Real-time booking engine

The booking engine is what turns visitors into guests. It must show up-to-date availability, date-based pricing, a transparent cost breakdown, and let guests book and pay in just a few clicks.

What to demand: native integration with your website, real-time availability updates, support for variable minimum stays, and automatic application of offers and discounts.

3. Channel management

If you list your property on Airbnb, Booking.com, or other OTAs, you need calendar synchronization to prevent double bookings. There are two approaches: iCal sync (availability only) or direct API connection (availability + pricing + content).

What to evaluate: demand a direct real-time API connection with the major channels (Airbnb, Booking.com, Vrbo) that syncs availability, pricing, restrictions and bookings instantly. iCal sync should only be a complement for smaller portals: as your main connection it leaves sync gaps that end in double bookings.

4. Secure online payments

If the guest can't pay online at the time of booking, you've lost them. In 2026, bank transfers are not an acceptable option for direct bookings.

What to demand: integrated payment gateway (Stripe is the standard), PCI-compliant processing, support for split payments (deposit + balance), and automatic booking confirmation after payment.

5. Seasonal pricing management

Your August rate can't be the same as your November rate. The PMS must let you define seasons with different prices, minimum stays, and conditions for each one.

What to demand: unlimited seasons (or at least high, mid, and low), configurable minimum stays per season, offers and discounts (early bird, last minute, long stays), and the ability to create special rates for events and holidays.

Vacation rental regulation gets stricter every year. Your PMS should help you stay compliant, not leave you on your own with a spreadsheet.

What to demand: automatic tourist tax calculation by country and municipality, online check-in with traveler data capture, and generation of mandatory legal documents. In Spain, for example, this includes the XML file for the SES Hospedajes traveler registration system — and similar obligations exist in many other countries. If the PMS doesn't cover this, you'll have to do it manually — and during peak season, that's unsustainable.

7. Guest communication

From booking confirmation to post-stay follow-up, guest communication should be smooth and, wherever possible, automated.

What to demand: configurable automated emails (confirmation, pre-arrival, check-out, review request), customizable templates, and access to communication history per booking.

8. Analytics and performance

You can't improve what you don't measure. The PMS should give you visibility into your business performance without having to export data to another tool.

What to demand: a KPI dashboard with key metrics (occupancy, revenue, performance per booking), channel and offer performance analysis, and built-in web analytics to see where your visitors come from.

Before choosing a PMS, ask yourself these questions:

  • Does it charge a commission per booking or just a flat fee? Commissions penalize your growth.
  • Does it include a direct booking website or do you have to build one separately?
  • How long does it take to get your property and website up and running? If it takes days or weeks, that's too long.
  • Does it support the languages you need for your market?
  • Does it handle tourist tax and legal check-in for your country?
  • Are support and training included or do they cost extra?
